Instructions to download completed student work from Quercus

It is recommended that all instructors follow the End of Term procedure as soon as the term ends.

As well, it is recommended that instructors take regular backups of the Gradebook, especially following the completion of grading for assignments and quizzes.

Reminder: Timelines for access to Quercus course shells following course completion:

  • 1 month after the end of term, the course will be in a read-only state for Students, TAs and Designers.
  • 1 year after the end of term, the course will be in a read-only state for Instructors.

Note:  Read-only state means that the course will not be available for submitting assignments, posting discussions, uploading files, grading, or any other action-based task within a course.  More information is provided on the Course Lifecycle webpage.

In case they are needed, instructions are provided below if a UTM Department or the UTM Office of the Registrar has asked for an electronic copy of completed work.  These instructions are current as of October 19, 2021.

7.  Download Quiz File Upload Question Submissions (Classic Quizzes)

Download all student submissions with the File Upload question type.

Quercus Assignments:

1.  Download Student File Submissions

(Video duration:  ~1 minute, 17 seconds)

Step-by-Step Instructions:

  • Go to Grades in the Quercus course.
  • Select the three dots on the right-hand side of the Quercus assignment column and select Download Submissions.
  • Locate the downloaded zip file in the downloads area of your computer. Extract the zip file to a folder.
  • Rename the folder to include identifying information, such as the course code, name and date of the assignment.
  • The saved submitted student assignment files will be available within the folder.

2. Download Annotated Student Submission in SpeedGrader

(Video duration:  ~ 1 minute, 9 seconds)

Step-by-Step Instructions:

Each annotated student submission will need to be downloaded following these steps, as there currently is not a batch download option.

  • Go to Grades.
  • Go to the cell for the student assignment you would like to download. Click on the arrow that appears in the cell when you hover over it.
  • Select SpeedGrader.
  • Select the Download annotated PDF icon.
  • A copy will be downloaded to your computer. Open and save it on your computer in the desired location.
  • Ensure that it is saved with a filename that is associated with the student who submitted it to facilitate retrieval if it is needed later on.

3.  Take a screenshot of an assignment grading rubric

Step-by-Step Instructions:

A screenshot of each completed rubric can be captured following these steps one-by-one, as there currently is not a batch download option.

  • Go to Grades.

  • Select the cell for the student rubric that you would like to capture via screenshot.

  • Click on the arrow that appears in the cell when you hover over it and select SpeedGrader.

  • You can adjust the rubric window to enlarge it.

  • Take a screenshot of the rubric and include the assignment name and student information within the frame of the screenshot.

  • Go to the location where screenshots are stored on your computer and rename the screenshot with a filename that is associated with the student who was graded using the rubric to facilitate retrieval if it is needed later on.

4.  Download SpeedGrader Comments

(Video duration:  ~ 1 minute, 25 seconds)

Step-by-Step Instructions:

  • If comments were created in the Add a Comment textbook or using the Speech-to-Text commenting option, first, go to Grades.
  • Select the cell for the student comments that you would like to download.
  • Click on the arrow that appears in the cell when you hover over it and select SpeedGrader.
  • Go to the bottom of the comments area and select Download Submission Comments.
  • Save the comments with a filename that includes course code, student information and assignment or quiz name to facilitate retrieval if it may be needed at a later date.

The comments files will need to be downloaded one-by-one using these steps, as there currently is not a batch download option.

Additional Resources:

  • Comments may have been added in the Comments area of a Quercus assignment or quiz.

     

    • If comments were attached, then all graders can provide the instructor with a copy of the files that were attached and returned to students.

    • If short video comments were created directly in Quercus, there is no way download these at the current time.

  • If an assignment is anonymous, the Download Submissions Comments link is not displayed until the assignment is unhidden or assignment grades are posted.

5.  Download Ouriginal Analysis Overview Reports

Step-by-Step Instructions:

  • Go to Grades.

  • Select the cell for the student analysis report that you would like to download.

  • Click on the arrow that appears in the cell when you hover over it and select SpeedGrader.

  • Select the Ouriginal Similarity Score percentage icon. A new tab with the Ouriginal Analysis Overview interface will appear.

  • Select the Download icon (facing-down arrow) to download a PDF version of the Ouriginal Student Analysis report.

  • The report will include the submission with information regarding where similarities with other submissions, Internet websites, or databases occur.

  • Save the Ouriginal Analysis Overview report with a filename that includes course code, student information and assignment or quiz name to facilitate retrieval if it may be needed at a later date.

 

NOTE: Ouriginal provides textual similarity analysis only. Instructors and graders may use the report’s information, as well as any other relevant information, to determine if these passages represent plagiarism.

The Ouriginal Analysis Overview report files will need to be downloaded one-by-one using these steps, as there currently is not a batch download option.

Quercus Quizzes:

6.  Download Quiz Student Analysis File

(Video duration:  ~ 50 seconds)

Step-by-Step Instructions:

  • Once all students have completed the quiz, go to the Quizzes area of the Quercus course.
  • Select the quiz and then select Quiz Statistics.
  • Click on the Student Analysis button. A CSV file containing all questions, student responses and final scores will be downloaded to your computer.
  • You can open the CSV file in spreadsheet software and can view items such as student name, date the attempt was submitted, the responses made by each student, the correct and incorrect answers and score.

  • On this page, scroll down to see the View Analysis Reports section of the guide. Instructors should take a download copy of the CSV. This is the one way that instructors can download/view student quiz responses.
  • The Student Analysis button allows for the download of a CSV file that includes all quiz attempts, answer choices, number of correct and incorrect answers, and total score (one row per student).

 

7.  Download Quiz File Upload Question Submissions

(Video duration:  ~ 54 seconds)

Step-by-Step Instructions:

  • Once all students have completed the quiz, go to the Quizzes area of the Quercus course.
  • Select the quiz with the file upload question.
  • Click on the Download All Files option on the right-hand side.
  • A zip file folder of all student submissions will be downloaded.
  • Click on the zip file or alternatively go to the downloads area on your computer and unzip to a folder. All student uploaded submissions will be included in the folder.
  • Rename the folder to include identifying information, such as the course code, name and date of the quiz.

  • Instructors should be able to download a quiz with different questions types including the File Upload option. It is possible to download the file submissions using Download all Files BUT, the student responses for the other question types must be downloaded using Quiz Student Analysis File (see #6 above).
